Cancellations & Refunds
: The mission of the Washington Township RecPlex is to provide for and promote the general health, safety, and welfare of Township residents and guests while they are participating in activities at the RecPlex. As part of that mission, we understand that RecPlex participants may have reasons that require them to cancel their participation in a registered class or activity:

  • Refunds will be put on a household account or refunded back to a credit card. Participants may request a refund check. Funds in household accounts can be used for payment of future registrations. No cash refunds are permitted.
  • When a camp is cancelled by the RecPlex due to low enrollment or other circumstances, registered participants will be notified and will receive a full refund.
  • Registered participants will be given a 24-hour time limit after registering to cancel or transfer, if space permits, with no penalty and a full refund.
  • 7 days prior to the start of the program, participants will receive a full refund.
  • 6 days prior to the start of the program, participants will receive a 50% refund.
  • After the program begins, no refund will be given.
  • If availability permits, transfers will be honored without a fee.
  • Written documentation will be required for medical refunds.

Participant Profile Form: An email from our health provider, ePact, will be sent within 72 hours after the completion of your camp sign up. This digital form will include all emergency contacts, medication, and activity information. This form must be completed online with our camp staff prior to your child's participation in camp. No child will be permitted to attend camp without this form on file. The deadline for submitting the ePact, Participant Profile Form is noon on the Friday prior to the start of camp.

What is ePACT?

ePACT is a secure emergency network that we use to collect medical and emergency contact information electronically for summer camps. Not only does ePACT replace paper forms, but it also gives us a way to communicate with your family in the event of an illness, injury or schedule change.

Using ePACT is easy and secure. Here’s how it works:

  • After registering for camp, you will receive an email invitation to share information with Washington Township RecPlex Summer Camp. If you don’t receive an email, please check your spam/junk folder and verify that we have the correct email address on file for you by calling the RecPlex at 937-433-0130.
  • Click ‘Complete Request’ to create a free account, or log-in if you already have an existing ePACT account.
  • Then you’ll enter the required information, for example: emergency contacts, medical conditions, and share it with us so that our camp staff have access.

ePACT makes it easy for patrons to share emergency information with us; while also ensuring we have access to records anytime, anywhere, such as on a field trip or at the pool.

If you enrolled in camp last season, or your child attended Rec’ing Crew or School Days Off, you might be wondering why you’re getting a new ePACT request. At the end of every season, your dependent’s record is disconnected from the RecPlex as per ePACT’s terms of use and privacy policy.

This means that every year, you’ll be asked to confirm that all the information is still up-to-date and then to share this information for the current season. If you entered this information last year, it will be pre-populated in all the steps. Only new questions and waivers will need to be answered. If nothing has changed, it will take you less than 30 seconds to complete the form. Simply select your dependent and click on "Continue" on each step until you get to the final Complete Info step, where you’ll need to Share with us to give Washington Township RecPlex Summer Camps access to your dependent’s record for this year/season. Learn more about reconfirming your record.

Is the information I submit through ePACT secure? Absolutely! You always own your account and the information in it. Plus, ePACT maintains the same levels of security as online banking, and limits access only to the administrators for enhanced privacy. Rest assured that your information will remain protected.
